We are seeking a dynamic and creative Special Events Planner to orchestrate exclusive events tailored to our discerning clientele, ensuring memorable experiences that align with our brand's ethos of innovation, sophistication, and security.
Job Summary:
As a Special Events Planner, you will be responsible for conceptualizing, planning, and executing a variety of special events and experiences catered to our high net worth families and wealth managers. From intimate in-home gatherings (HardTarget Retreats™) to exclusive cyber group gaming events (The HardTarget Society™), you will collaborate closely with internal teams and external vendors to deliver exceptional events that showcase our company's expertise while fostering meaningful connections with our clients.
Key Responsibilities:
1. Event Conceptualization and Planning:
- Brainstorm and develop creative event concepts that resonate with our target audience.
- Collaborate with marketing and sales teams to align event objectives with business goals.
- Create detailed event plans, including timelines, budgets, and resource requirements.
2. Venue Selection and Logistics:
- Source and secure venues that reflect the exclusivity and sophistication of our brand.
- Negotiate contracts with vendors and manage vendor relationships.
- Coordinate logistical aspects such as catering, audiovisual equipment, and transportation.
3. Guest Experience Enhancement:
- Design unique event experiences that highlight HardTarget's cyber gaming capabilities.
- Implement personalized touches to cater to the preferences of high net worth individuals.
- Anticipate and address guest needs to ensure a seamless and enjoyable experience.
4. Event Promotion and Communication:
- Collaborate with the marketing team to develop promotional materials and strategies.
- Utilize various channels, including social media and email marketing, to promote events.
- Communicate event details and logistics to attendees in a clear and timely manner.
5. On-Site Event Management:
- Oversee all aspects of event execution, ensuring adherence to timelines and budgets.
- Manage event staff and volunteers, providing guidance and support as needed.
- Troubleshoot any issues or emergencies that may arise during events.
6. Post-Event Evaluation and Analysis:
- Gather feedback from attendees to evaluate event success and identify areas for improvement.
- Analyze event metrics and ROI to inform future event planning strategies.
- Prepare post-event reports and presentations for internal stakeholders.
Qualifications:
- Bachelor's degree in Event Management, Marketing, Communications, or related field.
- Proven experience in event planning and execution, preferably in a luxury or high-end sector.
- Strong project management skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills, with a keen attention to detail.
- Creative thinker with the ability to generate innovative event ideas and experiences.
- Proficiency in Microsoft Office suite and event management software.
- Flexibility to work evenings and weekends as required for event coverage.
- Willingness to travel to event venues and client locations across Canada and the United States.
